Duncan for KC
Privacy policy
What we collect, why we need it, and the choices you have.
Effective and updated
- Your participation is your choice
- Browse without an account. Campaign email updates require a separate opt-in.
- Visit counts, no advertising trackers
- Google Analytics counts visits and page use. The site has no advertising pixels or cross-site advertising trackers.
- A way to ask for changes
- Contact the campaign about access, corrections, deletion, or email preferences.
Who this policy covers
Duncan for KC operates this campaign website. This policy explains how information is handled when you browse the site, use its address tools, send a message, ask to volunteer, or request campaign email updates.
This is a campaign website, not a City of Kansas City government service. The policy covers information collected through this site and the campaign’s handling of related requests. Independent websites you visit through our links have their own privacy policies.
Information we collect
You can read the site without creating an account or providing contact details. When you choose to use a form or a tool, the information involved depends on that choice.
- Contact and participation
- Your name, email address, any phone number and address you provide, your message, selected volunteer interests, and the topic you choose. Event invitations may include a separate event location. A yard-sign request needs its delivery address.
- Address tools
- Address text you enter, the suggested address you select, and location information used to estimate a council district. If you send an address with a campaign form, the saved form may include its place reference and council district.
- Submission records
- The time a form was received, an internal submission identifier, and your campaign email choice, including the consent wording shown at submission. Technical identifiers help prevent duplicate submissions.
- Website requests
- Our hosting and security services receive information such as an IP address, requested page or service, request time, browser information, and technical errors. Request information can include the address text sent to an address tool.
- Site analytics
- The pages you view, the site that sent you here, your browser and device type, and an approximate location from your IP address.
Do not put passwords, payment card details, government identification numbers, medical records, or other sensitive personal information in a campaign message. Please share someone else’s details only when you have their permission or another lawful basis.
How information is used
Information submitted here is used to manage the request you make, organize campaign participation, communicate about your message or volunteer interests, and record your email preferences. Technical information is used to operate the site, diagnose problems, prevent abuse, and protect submissions.
We may also use relevant records to meet legal obligations, keep campaign finance records, and respond to lawful requests. The website does not run advertising, sell personal information, or use cross-site tracking to build advertising profiles.
Sending a form does not make your name, message, or address a public website post. It also does not authorize us to publish your message as a testimonial or endorsement.
Forms and email choices
When you submit a form, its contents and your consent choice are saved in private campaign storage. Authorized campaign personnel and service providers may process those records for the purposes described in this policy.
The box for campaign email updates starts unchecked. On a volunteer or contact form, that choice is optional. A request specifically for email updates requires you to select it. Asking a question or volunteering does not, by itself, opt you into campaign email updates.
Providing a phone number does not subscribe you to text messages. A volunteer or contact form does not send you email or text messages automatically. If you choose campaign email updates, your address is added to the campaign email list when your form is saved, unless it was unsubscribed earlier or cannot receive email. We do not send an email asking you to confirm.
A confirmation message means your form was saved. It does not mean an email was sent, a mailing-list enrollment was completed, or a volunteer assignment or event was confirmed.
You can change your email preference through the unsubscribe option in a campaign email, when available, or contact the campaign to ask to stop updates. A record of an opt-out may be retained so that your preference can be respected.
Event RSVPs
An RSVP form keeps your phone number, name, email address, ZIP code, party size, any answers to the event’s questions, and your volunteer and accessible parking choices. We use them to plan the event, check people in at the door and contact you about the event.
When a phone number is entered on an RSVP form, the form fills in the name, email address and ZIP code the campaign holds for that number, so you can check and correct them. It also shows whether that number already has an RSVP for the event. Please enter only your own number.
Giving a phone number does not sign you up for text messages. The box for campaign email updates on the RSVP form starts unchecked and works like the one on other forms. You can change or cancel an RSVP by entering your phone number on the event page, or through the link in an event email when one is sent.
A calendar file or a digital wallet pass for an event contains the event details and an RSVP reference, not your contact information. A wallet pass may receive updates about the event, such as a time change or a cancellation.
Address and district lookups
Using an address field sends what you type to an outside address service to suggest matches and find a location. A lookup is separate from signing up or sending a campaign form.
Our server sends address text and a temporary lookup identifier to an outside address service to retrieve suggestions and location information. The homepage and the election guide use that location to estimate a council district. Neither district tool requests your device’s precise location.
A district lookup does not create a campaign signup or contact record. The lookup is not retained in browser storage by this site. Place references and location results can be cached temporarily to operate the tool, and technical request logs may contain lookup information. An address you send with a form is saved with that form.
The address service processes the information it receives under its own address service privacy policy, which is incorporated here for that feature. You can browse the rest of the site without using address suggestions. The lookup is informational and is not proof of voter registration or eligibility.
Event maps and optional location
The Events page loads an interactive map from an outside map service. That service receives your IP address, browser information and the map area being viewed to provide tiles and map features. You can switch to the event list without using location search.
Device location is requested only when you choose Use my location and grant your browser permission. The page uses those coordinates to order public events by straight-line distance. This website does not save the coordinates in campaign records or browser storage. Clearing your location or reloading the page removes it from the event finder.
If you enter an address or ZIP code, the browser sends that search to the map service. Selecting a result updates the event finder and map. Showing a location on the map may reveal that map area to the service. Location search does not sign you up or submit a campaign form.
The map service handles those requests under its own map privacy information. You can decline location permission and continue using the chronological list.
Voting location finder
The election guide and its Where to vote page find the polling place and the closest early voting site for a location you choose. The Where to vote page also loads the same outside map service as the Events page. It lists every early voting site and Election Day polling place without asking for your location.
Device location is requested only on the Where to vote page, when you choose Use my location and grant your browser permission. If you choose an address suggestion instead, the address lookup described above provides its location. Either page sends those coordinates to this website’s server, which compares them with public precinct and county maps to find your election authority, assigned polling place and closest early voting sites. The coordinates travel in the body of that request, not its web address. This website does not save them, and the lookup does not create a campaign record. Technical request logs may show that a lookup happened.
The coordinates stay in the page’s memory to show distances and sort locations by straight-line distance. They are not saved in browser storage. Clearing your location or reloading the page removes them. Directions links open an outside map service with the polling place, not your location.
Website analytics records the web address of a Directions or sample ballot link you click in the results. That address names the polling place or ballot the finder showed you.
Donations and public records
Donation links take you to a separate payment website. Payment information is entered there, not in this website’s forms. That service applies its own privacy policy, security practices, and transaction terms.
The campaign may receive donor and transaction information needed to acknowledge, administer, refund, and report contributions. This can include a donor’s name, contact details, employer or occupation, contribution amount, and date.
Campaign finance laws require records and reports. Donor information that must be reported may become public through the responsible filing agency. A privacy or deletion request cannot remove information from public filings or override legally required recordkeeping.
When information is shared
Information may be available to authorized campaign staff, volunteers, and service providers where needed to handle a request or perform campaign work. Service categories include website hosting, private record storage, security, website analytics, address suggestions, payment processing, and campaign communications.
Information may also be disclosed when required by law, a valid legal process, or campaign finance reporting rules; to address fraud or a security incident; or to protect the rights and safety of people using the site. Where permitted, we may assess or challenge an overbroad request before responding.
This policy does not give permission to publish private contact or volunteer records. If a proposed use falls outside the purposes described here, the campaign must evaluate the applicable notice, consent, and legal requirements before making that change.
Cookies and tracking
This site uses Google Analytics through Google Tag Manager to count visits and see which pages and buttons people use.
It collects things like the pages you view, the site that sent you here, your browser and device type, and an approximate location from your IP address. It sets cookies in your browser to tell one visit from the next. It does not receive what you type into forms.
When you click a link to another website, it records that link’s web address. This includes Directions and sample ballot links in the voting location finder.
You can block or delete cookies in your browser settings, or install Google’s opt-out browser add-on. Google explains its handling of this data in how Google uses information from sites that use its services.
The site does not include advertising pixels or cross-site advertising trackers. The News page displays public campaign posts retrieved by our server. Post images are delivered through this website without loading a social network’s scripts or embedded player.
Published interviews may include a native audio player. Audio is requested from the publisher’s media service only when you choose to play it. The media service receives technical information needed to stream the recording and may apply its own policies. The player does not load an outside widget, play automatically, or send this page’s address with the request.
Selected news videos use an on-site player and campaign media storage, including their original captions. Playback starts after you choose the video or press play. Storage and delivery services receive the technical requests needed to deliver the media. The player does not load publisher advertising or tracking scripts.
Opening a post thumbnail, reel, social profile or original post takes you to a separate website in a new tab. Those websites apply their own privacy policies and may use their own cookies and tracking technologies.
Basic hosting and security request information is separate from advertising tracking. Because this site does not use cross-site advertising tracking, it does not change that practice in response to a browser’s Do Not Track or Global Privacy Control signal. Browser settings and extensions may still affect how forms and address tools work.
Retention and security
Retention depends on what a record is for, whether a request is still being handled, consent and opt-out records, security needs, and applicable legal obligations. Campaign finance records may need to be kept after an election. We do not promise that every record can be deleted immediately or on the same schedule.
The site uses restricted storage, secure connections in its hosted environment, and controls designed to limit unauthorized submissions and access. Access should be limited to people and services that need it for campaign work. No system or transmission method can be guaranteed completely secure.
If a security incident affects personal information, the campaign will assess the incident and provide notices required by applicable law. Records may be processed or stored in the United States and other locations where the campaign’s services operate; privacy laws can differ by location.
Your choices and requests
You can contact the campaign to ask what information it holds about you, request a correction or deletion, change communication preferences, or raise a privacy concern. Say that your message is a privacy request and identify the information or activity involved. Do not send identity documents or sensitive records through the form.
We may ask for limited additional information to verify a request before disclosing, changing, or deleting records. A person acting for someone else may need to show their authority. The response depends on applicable law, the information held, and any retention or reporting obligation.
A request may be limited where records must be kept for legal compliance, security, the rights of others, or an unresolved matter. Stopping campaign email does not erase a public contribution report. Depending on the law that applies to you, additional rights or a right to contact a privacy authority may be available.
Children’s information
This website is intended for a general audience and is not directed to children under 13. Children under 13 should not send personal information through its forms. The campaign does not knowingly seek personal information from children under 13 through this site.
If you believe a child under 13 has submitted personal information, contact the campaign so the record can be reviewed and handled appropriately, including deletion where required. Participation by older minors may require a parent or guardian’s involvement depending on the activity.
Changes and contact
The effective date at the top identifies this version. We will post updates here when this policy changes. A material change to how previously collected information is used may require additional notice or consent under applicable law; posting a revised page is not a substitute for that requirement.
For a question, privacy request, or concern about this policy, use the Duncan for KC campaign contact form. Please include an email address where the campaign can respond. The Terms of service explain use of this website.
